This notice explains what we collect when you send an enquiry, email or call us, why we use it, who we share it with, how long we keep it and the rights you have over it.
Who We Are
This website is run by JAC Air Conditioning Ltd, company number 07340189, registered office 61b Old Main Road, Fosdyke, Boston, Lincolnshire PE20 2BU. We are the controller of the personal information you give us, which means we decide how it is used and we are responsible for looking after it.

What We Collect
When you send an enquiry through the form on this website, we collect the details you enter. When you call or email us, we keep a note of what you tell us so that we can answer properly.
- Your name, email address and phone number
- Your postcode or address, and the type of property
- What your enquiry is about and any message you write
- Any photographs or documents you send us
- Notes of phone calls and of our survey of your property
Why We Use It
We use your details to answer your enquiry, to arrange a survey or a visit, to prepare and send a quotation, and, if you go ahead, to carry out the work, register the manufacturer warranty, keep service records and send invoices. Many common questions are answered on our frequently asked questions page, but anything you send us is read and answered by a person.
We do not add you to a mailing list, and we do not use your details for marketing unless you ask us to. The enquiry forms are protected by a security check from Cloudflare that tells a person from an automated program, and each enquiry is screened for spam before it reaches us. An enquiry that the screening is unsure about may be held for a person at Top Rank Solutions, who look after this website, to review before it is passed on to us.
Our Lawful Basis
When you ask us for a quotation or a visit, we use your details to take steps at your request before entering into a contract with you. When you become a customer, we use them to perform that contract. For general enquiries, we rely on our legitimate interest in replying to people who contact us, which we balance against your rights.
We also keep some information because the law requires it, for example accounting records. Where we ever rely on your consent, you can withdraw it at any time by emailing info@jacairconditioning.com.
How Long We Keep It
If your enquiry does not lead to any work, we delete your details within 12 months of our last contact with you. If we carry out work for you, we keep your details and the records of that work for as long as we look after the system, so that we can service it and answer questions about it, and we keep accounting records for six years.
When information is no longer needed, we delete it securely or destroy paper copies.
Who We Share It With
We do not sell your information, and we do not pass it to anyone for their own marketing. We share it only where that is needed to answer your enquiry or carry out your work.
- Our email provider and our website hosting provider, which handle messages and form data for us
- Top Rank Solutions, who look after this website and run the service behind its enquiry forms: it screens each enquiry for spam, keeps a copy and sends it on to our inbox
- Cloudflare, which provides the security check on the enquiry forms
- The equipment manufacturer, when we register a warranty in your name
- Our accountants, for our financial records
- Anyone we are required to share it with by law
Where Your Information Is Held
Our email and hosting providers may store or process information on servers outside the UK. Where that happens, we use providers that protect it with the safeguards UK data protection law requires, such as approved contract terms. Each provider acts only on our instructions.
Cookies and Site Statistics
We use Google Analytics to count visits to this website and see which pages people find useful, so that we can improve it. It sets cookies in your browser and tells us things like which pages were viewed and roughly where visitors came from. It does not tell us who you are, and we do not use it to advertise to you. You can block these cookies in your browser settings, or install Google's own opt out add on from tools.google.com/dlpage/gaoptout.
The security check on the enquiry forms is Cloudflare Turnstile. It looks at technical details of your visit, such as your browser and your IP address, to tell a person from an automated program. When you check a postcode on this website, the postcode alone is looked up on the free public postcode service at postcodes.io to find the area it belongs to; nothing else is sent, and we do not store it.
Your Rights
Under UK GDPR you have the right to ask for a copy of the information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict how we use it, to object to how we use it, and to receive it in a format you can pass to someone else. Some of these rights depend on the reason we hold the information.
To use any of these rights, email info@jacairconditioning.com or write to our registered office. We will reply within one month, and there is normally no charge.
Complaints and Changes to This Notice
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.
We may update this notice from time to time, and the current version will always be on this page. This notice was last updated in October 2026.
